AI Notetakers Raise Privacy and Data Security Concerns

AI notetaker tools that transcribe and summarize meeting conversations raise privacy concerns over storage of sensitive data, creation of voiceprints without consent, and use of confidential transcripts to train AI models. Privacy advocates recommend that organizations request consent and establish clear data policies before using such tools.

What happened

AI notetakers use artificial intelligence, speech recognition and large language models to record, transcribe and summarize conversations during virtual meetings.

Privacy advocates expressed concern that companies behind AI notetakers may create voiceprints without consent, store meeting data without clear policies, resell data, or use confidential transcripts to train their AI models. A criminal defendant in New York was ordered by a federal judge in February to provide prosecutors with documents he created for his lawyers because they had already been shared with Anthropic's Claude.

Reported impact

Confidential personnel information, corporate strategies, trade secrets and remarks that could be incriminating could end up in the wrong hands.

Voiceprints could be used to access restricted or confidential information, including bank account contents. Conversations between attorneys and clients could become fair game in legal proceedings.

Index analysis

Uncertainty exists about where collected data is stored and for how long. Some tech companies resell data from notetaking tools or use confidential meeting transcripts and recordings to train their AI models.

Governance controls

Amy Dufrane, chief executive of HRCI, stated: "There are huge risks to the organization on AI notetakers. I don't think companies should use it at all." Privacy advocates recommended individuals assert privacy rights and understand data storage policies before using such tools, and that consent should be requested and clear boundaries established to ensure meeting confidentiality.
